Job Description

Under the supervision of your project manager, you will provide operational, financial and administrative support to the project team and the Project Manager during all the duration of the project.


Your responsibilities will include but not limited to:


§ Use actively existing templates and procedures and promote them internally and externally.


§ Assist the Project Team in the set-up and follow-up of all IPS deliverables (list of documents, contact list, organization chart, quality manual, project risk register, white file, punch list, …) and all other required documents further the methodology requested by the customer and guarantee a successful quality and delivery.


§ Assist the Project Manager and do an active follow-up of the project tracker, staff planning and time schedule of the project.


§ Assist the Project Manager and act as a cost controller to give a financial support in budget management, orders, change orders, invoicing, profitability analysis, cost review, monthly report, deviation on project, …


§ Support the Project Manager and the project team in general procurement strategy.


§ Organize and/or participate in project meetings when required, provide the necessary administrative and coordination support in writing down and distributing the meeting reports.


§ Assist the Project team in maintaining an accurate filing system for all project activities, manage all project correspondence, drawings, reports, and other project documentation as requested.


§ Assist the Project team on site for all logistic arrangements.


Possibility to evolve towards a more technical position and to get more responsibilities in the project.



1. Inside the Business Unit


You will integrate the Project Quality Support Team. The mission of this Business Unit is to provide support to the Project Teams and Project Managers in the following roles and responsibilities:


Quality:


§ The Project Quality Support Team ensures the standards for project management are used to drive a project to a successful delivery and to guarantee quality to the customer.


§ The Project Quality Support Team organize and performed Project Audits to ensure that the required templates, standards, methodologies and procedures of IPS are efficient, respected and up to date on projects.


Finance:


§ The Project Quality Support Team will give a productive financial support to the Project Managers and the Finance Department in terms of Invoicing and Profitability Analysis.


Cost Control:


§ The Project Quality Support Team act as Cost Controller on Projects to support Project Managers and Customer representatives in the CAPEX budget management of the project (Procurement, Purchase to Pay, Forecast, Cashflow, S-Curve …).


Doc Control:


§ The Project Quality Support Team act as Document Controller on Projects to guarantee a successful quality and delivery of all required documents further the methodology of a specific Document Management System.


Your responsibilities will include but not limited to:


§ Integrate the Project Team and the Project Quality Support Team Business Unit


§ Support and develop the Objectives of the Business Unit in terms of Project Management Control (PMC)


§ Respect the IPS internal procedures and promote them internally/externally


§ Actively take ownership in your personal development and career plan


§ Participate in meetings to expend the services of the Business Unit and IPS


§ Work at the IPS Competence Center in Nivelles and on customer’s site





Requirements

§ Ability to participate effectively and demonstrates active listening in team-based information sharing environment


§ Ability to plan, prioritize, deliver tasks on time and be flexible with the overall initial plan


§ High client service orientation and initiative to solve problem, excellent analytical and communication skills


§ Consistently approaches work with energy and positive, constructive attitude and set high personal standards for performance


§ Ability to work with minimum supervision and take full ownership of the tasks


§ Affinity with technical issues, show initiative and curiosity


§ Oriented finance, skilled with numbers


§ Be an active learner and catch opportunities


Benefits

§ Education: Graduate in administration, translation, or technical studies


§ Skills: strong knowledge of MS Office Word/Excel/PowerPoint. Knowledge of SAP, MS Project & AutoCAD is an asset.


§ Languages: French/Dutch + English very good, knowledge of other languages is an asset.


§ Experience: 5 - 8 years


§ Driving license B
