Responsibilities:
  • On site reception of personel and packages.
  • Provide on site point of contact for external communications and direct to appropriate individuals, including site visits.
  • Support requests from Directors, Leuven managers, and team members, provide first point of contact for Keysight processes and information to help direct individuals to correct contacts.
  • Support managers with MS 365 Office tasks, including slides, communications, minutes, TEAMs meeting setups, tracking sheets.
  • Support administratively Country General Manager, Leuven Labs-AT management (4x) and team (50+) including schedule meeting and events, travel, placing purchase orders, and managing office supplies.
  • Own and administratively drive the system of reviews, staff meetings, 1/1’s and processes. Track & communicate deadlines & due dates. Prepare onboarding activities and workspace for new hires and interns
  • Provide main Leuven contact for vendor questions regarding purchasing, billing, and shipments. Setup new vendors in Keysight systems.
  • Maintain site cafeteria with ordering, receiving, stocking and budgeting. Ensure food is properly store and area is setup for lunch. Coordinate setup for special events. Report building problems to Work Place Services. Work with Work Place Services on office optimizations.
  • Manage signing, archiving and distributing of documents requiring CGM signatures.
  • Provide logistics and program coordination for Keysight's participation and compliance in the Belgium Belspo tax reduction program.
  • Monitor the myMinFin and eBOX inboxes. Assist with communications. Coordinate with Country mgmt ( accounting, HR, Legal) as requested by Country General Manager.
  • Cooperate with accounting to periodically upload data in the myMinFin portal, e.g. witholding tax data.
Qualifications:
  • Exceptional verbal and written communication skills.
  • Advanced and current computer skills, including MS Office suite business applications.
  • Ability to work independently as well as part of a team.
  • Excellent organization and time management skills.
  • Excellent interpersonal skills and a pleasant, approachable, positive demeanor.
  • Ability to exercise good judgment/decision making when necessary.
  • Ability to prioritize and take initiative.
  • Excellent judgment and discretion is an absolute necessity.
  • Must be able to work with employees at all levels of the company.
  • Flexibility to work overtime as required.
  • Ability to multi-task in a sometimes high-stress, demanding environment.
  • Significant attention to detail and follow-through skills.
  • Prior experience providing administrative support at a high-level and have the poise, presentation, personality and initiative to be a top-notch, right-hand professional.
  • Requires a minimum of 5 years directly related experience, with typically 7 to 15 years of experience.
  • Requires Associate degree and/or higher education with specialized training/certification.
