Workplace Management Specialist

We are looking for a Workplace Management Specialist delivering Workplace operations and services (facility management and office services) in Belgium for a set of locations across Belgium according to the Accenture Workplace standards and compliant with the local regulation.

Located in Belgium offices, it involves local facilities and office services management, V&A support integration across Belgium. Reporting to the BNL Workplace executive team, it requires working closely with internal customers, visitors, external vendors and eco-system stakeholders. He/she is specialized in Workplace delivery services and possesses high skills in facilities management, internal customer experience, knowledge and expertise in Workplace services, operations and project management as well as in Health & Safety and Security. A comprehensive and holistic vision of the area is essential, along with the expertise and knowledge. Due to the extreme workload, this role is critical to ensure seamless operations and support.

Scope of work

  • Facility management: Deliver daily onsite facility management services including asset management, engineering, building & maintenance, cleaning and storage services. Manage contracts and relationships with external vendors and commodities
  • Office services: Deliver daily office services operations onsite including reception, mail delivery, logistics. Facilitate guest experience and support onsite. Partner with meetings and events planners for large scale onsite initiatives. Ensure location safety and security protocols are followed.
  • Space management: Deliver space management and related services, including workspace and group seat allocations and meeting room bookings. Achieve optimal seat and space utilization based on demands and available space. Implement metrics to measure and support space utilization and occupancy. Provide strategic direction for management of real estate and workplace-related solutions and services
  • Health & Safety: Support the implementation, execution and adherence to occupational health and safety programs, operations and regulations to prevent people from work-related injury or illness in the workplace (including fire safety, emergency evacuation plans. water risk management). Work with the BNL Health and Safety Coordinator to implement and execute solutions. Support ISO45001 certification and other similar certifications
  • Security: Support security operations including access control management, people, asset, and information security. Work with the BNL Security Coordinator to implement and execute solutions. Support ISO27001 certification
  • Environment/Sustainability: Support and perform operational activities related to environmental requirements in collaboration with the BNL Environment Coordinator. Support ISO14001 certification

Project/Program management: Manage business programs in different domains (RE, fit out, workplace-related services / operations, …) to support Accenture strategy


Requirements

  • Minimum 5 years of similar experience
  • Facilities Management Expertise: Skills in facilities management, including knowledge of Workplace services and operations
  • Comprehensive Vision: A holistic understanding of the workplace services area. Required expertise and knowledge to ensure seamless operations and support
  • Technical Skills: Proficiency in Microsoft Office 365, including Excel and Power BI.
  • Languages required: Dutch, French and English
  • Business Administration: Background in business administration and management studies
  • Interpersonal Skills: Strong interpersonal skills to work closely with the Workplace teams, internal clients and external providers
  • Budgeting and Forecasting: Ability to manage operating and capital budgets, ensuring business operations meet service level requirements and corporate standards
  • Critical Thinking and Problem Solving
  • Presentation and Communication: Ability to deliver presentations and communicate effectively both written and orally
  • Adaptability: Ability to work and adapt to changing environments and tight deadlines. Sociable personality with versatile, flexible, and polyvalent attitude.
  • Service orientation: A strong service orientation and ability to work in teams and coordinate people
  • Customer experience: A proven customer experience expertise to provide a productive, inspiring, and secured workplace as well as hospitality to internal customers and clients
  • Project management: Ability to manage programs and projects with methods, rigor and autonomy
