The Facilities Assistant is responsible for performing maintenance work, office moves and set-ups, as directed by the Office Operations Manager. Performs daily floor inspections of 5 floors of office space. Performs other duties as required with relation to the upkeep and functioning of the Brussels office. 

The Facilities Assistant should proactively contribute to the Firm’s success by actively seeking to improve working processes, anticipate needs, and take action accordingly.

 The Facilities Assistant is part of the Brussels Operations Team which is structured to collaborate and work as a unit to provide a high quality, comprehensive workflow management and organisational service to service stakeholders within the Firm.

Duties and Accountabilities1
  • Acting as an Ambassador: Always represent the Facilities Department in a professional and courteous manner.
  • Daily Inspections: Conduct daily floor walks of the entire building, proactively identifying faults and logging them with the Facilities Helpdesk.
  • Reporting Maintenance Issues: Promptly bring all maintenance-related issues to the attention of the Facilities Manager.
  • Room and Furniture Set-Up: Assist with furniture moves and room set-ups to support various office functions.
  • Internal Personnel Moves: Aid in the relocation and reconfiguration of internal personnel and their workspaces.
  • Vendor Collaboration: Manage effective collaboration with other service providers that contribute to the Client Suite operation.
  • Invoice Administration: Handle the administration of Facilities invoices efficiently.
  • Key Management: Create and maintain a storage key database, and organize key storage and inventory accordingly.
  • Security Pass Administration: Administer the security pass system, including issuing replacement passes, managing joiners and leavers, and ensuring the security pass register is kept up to date in a timely manner.
  • Special Projects: Assist with special projects as requested by management.
  

Essential Job Requirements

  • Study : Bachelor's/College Degree or equivalent.
  • Experience: Relevant work experience is necessary.
  • IT skills: Proficient Microsoft Applications (Outlook, excel, Word, PowerPoint).
  • Language skills: Fluency in French and English is a must, and good command of Dutch.
  • Interpersonal Skills: Develop and maintain professional and cooperative working relationships with all staff and attorneys, fostering a collaborative and supportive work environment.
  • Communication Skills: Exhibit excellent interpersonal and communication skills to effectively interface with a diverse group of attorneys and staff.
  • Customer Service: Provide exceptional customer service, ensuring all inquiries and requests are addressed promptly and professionally.
  • Follow-Through: Demonstrate strong follow-through skills to ensure tasks and projects are completed accurately and on time.
  • Policy Adherence: Follow all Firm policies and guidelines diligently to maintain a consistent and compliant work practice.
  • Independence: Ability to work with minimal supervision, taking initiative and managing time effectively.
  • Flexibility and Reliability: Demonstrate regular attendance and flexibility with shift hours and the timing of meal and rest breaks, adjusting as necessary to accommodate workload demands.
  • Team Player: Exhibit a strong team-oriented mindset, contributing positively to team objectives and collaborating effectively with colleagues.

 

Location & Reporting

  • This position is based in Brussels and reports to the Office Operations Manager.
