We are looking for an Administrative Assistant who is passionate and innovative to join the Global Chemistry team, based in Braine, Belgium.
About the role
Responsible for all Personal Assistant duties and other administrative tasks within Global Chemistry, including some activities related to purchasing and contracting. To support the Chemistry Leadership Team (GCLT) and Braine Chemistry department. Ensure specialized administrative assistance to maximize the efficiency of Global Chemistry with a strong sense of organization, priorities, deadlines and with a focus on quality, efficiency, accuracy and cost awareness.
Who you’ll work with
Provide personal assistance to Global Chemistry Leadership Team (GCLT) and team members.
What you’ll do
- Coordinate internal and external meetings and schedules.
- Processes expense reports ensuring timely submission and accuracy.
- Attend and support meetings as required to maintain flawless communication within the Global Chemistry department.
- Maintain oversight of the purchasing and invoicing process.
- Manage practical details related to hiring and onboarding of new employees and contractors.
- Apply UCB compliance procedure to sponsorship requests and stay informed of changes to process and tools.
- Provide support in the organization of document management and external communications.
- Work with other UCB Assistants to ensure smooth running of local and global meetings/activities/travel, as required.
- Ensure assistance, training and back-up for colleagues.
Interested? For this role we’re looking for the following education, experience and skills.
- At least 5 years’ experience in planning, scheduling and forecasting in an international environment, experience in secretarial and/or document management.
- Experience in a pharmaceutical environment preferred.
- Strong organizational and time management skills.
- Ability to work independently and manage your own workload.
- Skilled in prioritization with ability to juggle multiple concurrent priorities/assignments, deadlines and stakeholders.
- Excellent communication skills (verbal and written) in French and English
- High attention to detail with a commitment to quality.
- Competent user of MS office, SharePoints and MS Teams.
