• Provide 1st line support to project and service delivery managers, ensuring smooth operation and successful completion of projects.
• Support project, service delivery, and resource managers in their day-to-day work with ServiceNow.
• Act as a power user to help ServiceNow users troubleshoot issues before escalation to technical support.
• Support the Institution’s governing committees and senior management in ensuring ServiceNow meets their evolving needs.
• Provide cross-functional support to other business areas in their use of ServiceNow (e.g. Customer Relationship Management).
• Monitor ServiceNow-related incidents in the IT Service Management Tool and address P3SM-related requests as required.
• Supervise project/service creation workflows and configure them in the Enterprise Project/Portfolio Management system (ServiceNow), using appropriate templates.
• Ensure accurate setup of project baselines.
• Maintain a knowledge base with current guidance on optimal use of ServiceNow.
• Keep work instructions and documentation up to date.
• Assess and prioritize ServiceNow enhancements based on user impact (acting as a ServiceNow ‘Product Owner’).
• Support the Head of BSM in triaging and prioritizing Jira tickets related to ServiceNow customization and configuration.
• Collaborate with the technical support team to resolve incidents and implement enhancements efficiently.
• Contribute to continuous process improvements across demand, portfolio, project, resource, and time management.
• Deliver training on ServiceNow modules, especially project management, service management, resource management, and time accounting.
• Support adoption of other ServiceNow modules (e.g., Demand Management, CRM, Service Catalogue) and advise on their integration.
• Develop and implement stakeholder communication plans.
• Perform other duties as required.
Requirements
What will you be bringing to the team?
- Minimum: Higher vocational training in a relevant discipline with 5 years of related professional experience. Alternatively, secondary education with 8 years of related experience.
- Formal certification in a recognized project management methodology (e.g., PRINCE2 or PMI).
- Certification in the ServiceNow Strategic Portfolio Management (SPM) module.
- Deep functional knowledge and hands-on experience with the ServiceNow SPM module; certification preferred.
- Strong knowledge and experience applying project management methodologies (e.g., PRINCE2, PMI).
- Proficient in the use of Microsoft Office applications.
- Proven experience in developing and implementing new processes and procedures.
- Excellent interpersonal skills with a demonstrated ability to engage effectively with internal and external stakeholders.
- Working knowledge of accounting and finance principles.
- Proven ability to take initiative, adapt to evolving priorities, and work reliably in a high-demand environment.
- Fluent in written and spoken English.
Desirable Qualifications:
- Knowledge of ITIL frameworks and service management practices.
- Experience maintaining web pages.
- Familiarity with Jira software.
- Exposure to Enterprise Resource Planning (ERP) systems such as Oracle or SAP, or experience with enterprise system implementation, business analysis, or IT requirements analysis.
