Intro
We’re hiring a Sales Admin Employee to manage delivery files, coordinate vehicle logistics, and handle financing contracts. You’ll work closely with sales and operations teams to ensure smooth and timely vehicle deliveries, providing an excellent customer experience in a dynamic environment.
Key Responsibilities:
- Preparation of Delivery Files:
- Registration of new and used cars.
- Invoicing on the day of delivery.
- Ensuring proof of payment is available.
- Creation of a delivery document (DD).
- Handling financing contracts (if applicable).
- Preparation of delivery report for fleet customers.
- Managing maintenance contracts (if applicable).
- Assembling welcome packages for customers.
- Administration and Filing:
- Comprehensive administration of all delivery files.
- Properly filing and organizing all relevant documents.
- Financing and Takeover Contracts:
- Preparing financing contracts when required.µ
- Drafting takeover contracts for customer signature, if necessary.
- Delivery Planning:
- Responsibility for coordinating transport arrangements.
- Ensuring the cars are adequately prepared for delivery.
- Overseeing the logistics of the delivery process.
- Appointment Management:
- Scheduling and managing appointments with clients for vehicle delivery.
- Dossier Follow-up:
- Ongoing monitoring and management of files for both new and second-hand cars.
What We’re Looking For:
- Previous experience in an administrative role with customer interactions.
- Proficiency in Office applications (Excel, Word).
- Knowledge of a dealer computer package (Navision – Incadea) is a plus.
- Fluent in Dutch, French, and English.
- Team-oriented and clear communicator
- Dynamic, adaptable, and proactiv
- Highly organized with strong attention to detail
- Skilled problem solver with initiative
