As a Subscription & Billing Specialist, you will be the go-to person for anything related to subscriptions, invoicing, and payment issues. Working closely with our Customer Care, Sales, and Finance teams, you’ll ensure our clients have a smooth, transparent, and positive experience when it comes to managing their plan and payments.
Your Responsibilities
Subscription & Plan Management
Manage customer subscriptions: upgrades, downgrades, pauses, and cancellations.
Maintain accurate subscription records in billing tools (e.g., Stripe, Chargebee).
Apply promotional codes, discounts, or plan changes.
Invoicing & Payment Handling
Generate and send invoices.
Support clients with billing-related questions and payment options.
Liaise with Finance for month-end processes and reconciliations.
Failed Payments & Collections
Monitor overdue invoices and failed transactions, making sure as much as no payments are overdue.
Follow up with customers in a professional and friendly manner.
Escalate issues if necessary (e.g., persistent non-payment).
Retention, Churn Prevention & Insights
Handle cancellation requests and understand reasons.
Offer alternative plans or solutions to reduce churn when appropriate.
Track and report churn patterns (voluntary/involuntary cancellations, payment failures).
Conduct churn analysis to identify at-risk segments and root causes.
Process Optimisation & Documentation
Improve internal workflows and automate recurring tasks.
Maintain and update billing-related help centre articles or templates.
Customer Support with a Financial Focus
Handle incoming billing queries via email or live chat.
Communicate clearly, kindly, and solution-oriented – even in sensitive financial matters.
Your Profile
You're fluent in English - communicate clearly and with empathy, German is a big plus.
2 years of experience in subscriptions, billing, payment processing, finance or similar – preferably in a SaaS environment.
Strong technical literacy with tools like Stripe, CRMs, billing platforms, or helpdesk systems.
Highly organised, self-motivated, and reliable, with a strong sense of ownership and follow-through.
Comfortable collaborating remotely across different time zones and cultural contexts, and able to adapt with ease.
Detail-oriented, with a passion for clarity, structure, and well-designed processes.
Nice to have
Additional languages are a big plus—we're a multilingual team with over 10 languages spoken!
Experience working with HubSpot and Chargebe, and the ability to suggest improvements to internal processes or system configurations.
Solid background in SaaS or travel-tech environments.
You're excited to hit the road for our team off-sites.
You will report to the Head of Customer Care and work closely with the Finance Department, Customer Success, Product, and Sales teams.
