Our Meeting & Events Co-ordinator needs to motivate through a passion for success and driving empowerment.

Building loyal relationships with clients and guests, sophistication and style is what we are looking for.

Communication & Negotiation Skills:
  • Ensure all offers & contracts sent by the team are according to the RHG brand and hotel standards with correct information and spelling
  • Ensure all due deposits are paid on time
  • Ensure activities for follow up on groups and m&e business are done on a daily basis
  • Ensure follow up is done on returning groups and m&e business
  • Support in facilitating FAM trips for especially MICE organizers
  • Ensure commercial follow up before, during and after the event
  • Interact actively with existing, potential and new clients inside the hotel (site visits)
  • Being a real host and point of contact in the hotel for groups & meetings
  • Ensure all customer specifications for events and groups are communicated to all involved departments

Planning & Organizing:
  • Attend credit meetings & follow up on outstanding payments
  • Assist in preparation of budgets and forecasts and execute action plans to increase revenue for groups & meetings
  • Ensure all input of business blocks, revenue and activities in SAP reservation system is correct
  • Guarantee quality and service to all meeting/hotel guests
  • Support to the operational departments during larger events
  • Achieve profit goals by ensuring that negotiated groups, conference and banqueting rates are in line with hotel profit objectives
  • Approve PM charges
  • Keep effective internal communication to ensure optimum team work and productivity

Innovation/Initiative:
  • Ensure offers are always up to date and meet and exceed customer expectations
  • Is pro-active to incorporate trends and new evolutions in the M&E product of the hotel together with the Director of Sales and the Meetings & Events team
Quality Oriented:
  • Ensure all hotel staff is aware of M&E standards where appropriate
  • Ensure all events and groups request calls are done according to the RHG brand standards
  • Be Manager on Duty

Requirements:
  • Strong communication skills and fluent in Dutch, English and French – written and spoken
  • Excellent administrative organization
  • Strong organizational skills
  • Profound knowledge of Word and Excel, knowledge of hotel reservation system is a plus
  • Guest friendliness
  • Assertiveness to deal with a variety of situations and clients
