Position purpose
Assist the Human Resources team in the general organization of the Human Resources department and services to the employees and in the day-to-day operations by carrying out various administrative tasks.
Replace the Human Resources Manager and Coordinator during their absences.
Main duties and responsibilities
- Collect and go through the daily mail ensuring the proper handling of the different items;
- Facilitate/Support the recruitment process by responding to applicant’s inquiries, organizing, preparing and sending out response letters to applicants;
- Facilitate/Support the post-recruitment process by:
- Composing the Associate files and staff handbook,
- Making medical appointments for new employees in concerned departments,
- Introducing new employees to the hotel.
- Create, distribute and post a variety of internal memos and certificates such as “Most On Brand of the Month”, “Job Vacancies” and “Promotions”;
- Create different, internally used, monthly reports such as “sickness statistics” and ensure that appropriate parties receive the information in a timely manner.
- Establish and follow up the contact with the insurance company concerning individual work accidents. This includes completing and sending the work accident form as soon as an accident is reported and ensure that all relevant information concerning the employee is transmitted in a timely manner, as well as forwarded to other concerned departments.
- Organize and follow up the planning for the yearly medical check up for each employee of the concerned departments
- Oversee and process a variety of personnel records such as employee absenteeism, presence charts (spot checks per department) and sick leave, ensuring that this is adequately communicated to the paymaster, HR-Coordinator,HR Manager and Head of Department.
- Responsible for the distribution and documentation of the locker keys.
- Monitor and order stationary items for the department.
- Ensure the preparation of birthday cards for Sheraton Brussels Hotel and all staff working for the Complex and being on other payrolls, as well as preparing the birthday gifts for those employees.
- Active participation and assistance in the organization of employee events such as staff parties and the celebration of national days such as “ Saint Nicholas’ Day”;
- Assist with special projects as needed.
- Ensure that all new fulltime employees, hired during the previous month, are posted on the notice board including name, quality, department and photo;
- Collection of personal documentation and updating of employee files, ensuring that these are detailed and accurate. Including as well updating employee addresses;
- Facilitate/Support the administration of employee turnover by monthly filing and listening former employees and their dossiers;
- Assist the Human Resources team with the administration of economic unemployment;
- Handling and follow up of interim orders and establishing the related reports;
- Answer telephones, resolve employee concerns about human resources issues according to the trainee’s ability or referring the question to the appropriate person;
Specific job knowledge, skills and abilities
The individual should possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job.
- Must be able to speak, read, write and understand primary language(s) used in the workplace: French and English or Flemish and English.
- Requires good communication skills, both verbal and written.
- Must possess basic computer skills such as Microsoft Word, Microsoft Excel…
- Must be able to work in a structured manner with established priorities.
- Must be able to work cooperatively and effectively with others in order to maintain positive working relationships both internally and externally.
- Should be able to anticipate, understand and effectively respond to the “internal customer”, meaning employees.
- Ability to maintain excellent relations with employees and maintain employee and guest confidentiality at all times.

- 750€ / month for students living abroad and 350€ / month for belgian students
- The trainee has to conform to the hotel’s regulations; a copy of the hotel’s regulations will be given on the 1st day of internship.
- The transportation fees in Belgium from the place of residence (in Belgium) to the place of work will be reimbursed up to 100% (public transports).
- The trainee will be insured by the hotel for any accident happening on the work place or on the way to work or back from work, but the trainee will not be covered by any insurance in the case of illness.
- The trainee can give 5 pieces of clothes to the laundry per week.
