Your Role:
As Finance (A to Y) & Fleet Coordinator you will join a growing organization where a warm and family-like team atmosphere is highly valued. You will work from our HQ in Vilvoorde and be part of the Internal Operations Team (5 people), closely collaborating with the COO, Accountancy Lead, Office Administrator, HR Manager, and Recruitment Team.
Your responsibilities are diverse and include:
Fleet manager
- On and off boarding regarding fleet; start-up new lease with leasing company, internal documentation ERP system (AFAS Software) and end of lease processes.
- Communication for Switching from Winter tires to summer tires and back.
- Follow up insurance cases.
- Be SPOC for questions from colleagues and suppliers (leasing companies & others).
- Both for bike and company cars.
- Owner of fleet strategy and compliance.
- Follow-up on legal regulations.
Account receivables
- Internal and external validation of timesheets.
- Follow-up on Purchase orders from clients.
- Invoicing based on approved timesheets.
- Weekly reporting outstanding invoices to sales meeting.
- Accounts receivable follow-up; payments follow-up.
- Upload documentation in Factoring platform.
- Vendor form compliance.
Accounts payable
- Control invoices received.
- Accurate booking of expenses / invoices.
As part of the Internal Operations Team, you also contribute to team continuity by providing backup support for your colleagues when needed.
Your profile:
- You hold a bachelor’s degree in Executive Assistant Management, Office management, Business management, Accountancy Fiscaliteit or a related field and have at least some relevant work experience.
- You are a team player with a proactive and hands-on attitude.
- Bringing structure, planning, organizing different tasks are among your core strengths.
- You work accurately, are structured, and pay attention to detail.
- You are reliable, discreet, and take ownership of your responsibilities.
- You are sociable, helpful, and customer-oriented.
- You are proficient with Microsoft Office tools (Word, Excel, Outlook...).
- Knowledge of AFAS Software, Factoring Belfius Platform, Ariba, Tungsten, Coupa is a strong plus.
- You are fluent in Dutch and English; French is a strong plus.
