Executive Assistant

JOB DESCRIPTION:

At Abbott, we’re committed to helping people live their best lives through the power of health. We are currently looking for an Executive Assistant to support our Electrophysiology Division at our EMEA Headquarters in Zaventem, Belgium.

About the Role

As Executive Assistant, you will provide high-level administrative support to the Divisional Vice President EMEA, HR Director, and Finance Director. You will play a key role in ensuring the smooth operation of daily activities and strategic initiatives within the division.

Key Responsibilities

• Manage complex calendars and coordinate travel arrangements for the Divisional Vice President.

• Organize and coordinate conference calls, leadership meetings, and events (on-site and off-site), including logistics such as hotel bookings, transportation, catering, and audiovisual setup.

• Handle general administrative tasks: correspondence, reports, meeting minutes, expense claims, purchase orders, and office supply management.

• Participate in management and executive team meetings, take minutes, and follow up on action items.

• Support regional and executive leadership projects (e.g., milestone awards, kick-off meetings, engagement activities).

• Maintain and update departmental information and dashboards.

• Ensure compliance with internal procedures, including reporting of product experiences.

Your Profile

• Bachelor’s degree in administration, languages, or a related field, or equivalent experience.

• Proven experience in a similar role, preferably in an international, fast-paced, matrix environment.

• Strong organizational and prioritization skills with the ability to work independently.

• Assertive, flexible, and stress-resistant with a problem-solving mindset.

• High level of discretion and confidentiality.

• Fluent in English; additional languages are a plus.

• Proficient in Microsoft Office and other relevant tools.
