The Medical department is looking for an Administrative Medical Liaison Officer to reinforce its team. The Administrative Medical Liaison Officer reports to Head of Medical Department or delegate (Senior Clinical Scientist or Senior CRP). The successful candidates will play a critical role in ensuring the smooth operation of the group’s scientific activities in close collaboration with the Medical Representative.

The role will involve collaboration with both external stakeholders and the internal HQ team, ensuring smooth operations for various scientific initiatives.

The role will involve collaboration with both external stakeholders and the internal HQ team, ensuring smooth operations for various scientific initiatives.
Main responsibilities / Major Activities
- Group and Committee Point of Contact: Serve as the main liaison for the group or Committee, handling requests from various sources. attend meetings on a rotating basis to ensure consistent representation and follow-up. It can include coordination of collaboration with other study groups.
- Coordination of Shared Resources: Maintain and update the group’s shared SharePoint site, ensuring that all relevant documents and resources are organized and accessible to the team.
- Management of scientific task forces, working groups and & subcommittees (Excluding bi-yearly group meeting: see below): Organize and coordinate meetings, including tasks such as scheduling via Doodle polls, sending reminders, and booking venues if applicable. Collaborate with external stakeholders and the HQ team to finalize meeting agendas and ensure accurate documentation of meeting minutes. Attend select meetings to provide support and ensure follow-up actions are carried out.
- Group and Committee bi-yearly Meetings: Support the coordination and articulation of the group’s involvement with the Network Relationship Office (Group Liaison Officer).

Coordination of scientific reporting for internal auditing: Oversee the preparation and coordination of scientific reports, including regular follow-ups with Officers to ensure timely and accurate submissions.
- Proven experience in a scientific environment, project management, or similar roles.
- Strong organizational skills, with an ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills in English.
- Proficiency in using SharePoint and other project management tools.
- Experience with scheduling and coordinating meetings, both internally and externally.
- Ability to work collaboratively with cross-functional teams and external stakeholders.
