Under the guidance of the Principal of the Canadian Section at SHAPE International School, you will be the welcoming face and administrative backbone of our vibrant and inclusive learning environment. This role is essential to ensuring the smooth operation of our school office and providing vital support to the Principal, staff, students, and families.
What will you be doing?
· Serving as the first point of contact for students, staff, parents, and visitors—offering a warm welcome and helpful guidance.
· Managing communications with professionalism and a high level of customer service, including phone calls, emails, letters, and in-person inquiries.
· Maintaining accurate student records and assisting with attendance tracking and reporting.
· Providing administrative support to staff for scheduling, documentation, data entry, and other operational needs.
· Coordinating school events, meetings, and communications, ensuring everything runs smoothly and efficiently.
· Overseeing office supplies and equipment are in stock and in a good working order.
· Arranging temporary staff when needed, ensuring continuity and coverage across the school.

1. You must be a citizen of a current NATO member country
2. You must have completed any initial term of compulsory military service required of you under the provisions of your country of citizenship’s legislation
3. You must be willing to provide the required documentation in order to obtain ‘reliability status’.
4. You must be willing to undergo a background investigation in order to obtain a valid security clearance certificate from your own NATO country (if required for the specific position).
5. You must be able to obtain and maintain a Vulnerable Sector Check
1. Willingness and ability to provide coverage/support for other team members as necessary.
2. Willingness and ability to receive phone calls and/or messages at home for scheduling purposes.
3. Willingness and ability to complete mandatory education/training relevant to the position and maintain the relevant certification throughout the duration of employment (e.g. First Aid and CPR).
4. Willingness to use annual leave during the following periods of school closure:
a. 2 weeks during the Christmas/New Year break
b. 2 weeks at a date of your choice during the summer break
5. Willingness to work from home during periods of school closure (i.e. school holidays or other closure days).
Education:
· Completion of secondary education or an equivalent combination of education, training and/or experience.
An equivalent combination of education, training and/or experience is defined as two years' secondary education and experience, usually gained over two years, working in an office environment.
Language:
· Fluent English French are both essential.
Experience:
· Experience providing administrative support services in an office environment.
· Experience using Microsoft Suite (e.g. Excel, PowerPoint, Word, Publisher, and Access).
· Experience in schedule management.
