As an Executive Assistant, you will support an SLT-member in his daily tasks.
You will ensure efficient agenda and inbox management, proactive communication, and administrative support. You will work closely with the SLT-member and other stakeholders within and outside of the company.
Responsibilities:
- Agenda and Email Management: Oversee SLT-member’s schedule, arrange and adjust meetings proactively, manage his inbox, and filter emails.
- Document Preparation: Draft initial documents and assist with PowerPoint presentations.
- Meeting Coordination: Book meeting rooms, set up links, and take minutes and action points (+ follow-up).
- Budget and Expense Management: Track budgets in Excel and manage expense reports.
- Stakeholder Communication: Maintain contact with law firms and key stakeholders and organize events.
- Proactive Problem Solving: Identify issues and provide solutions, ensuring efficient communication and collaboration.
- Administrative Support: Ensure the necessary documents for meetings, maintain files, and support his team with tasks like following up on invoices and travel arrangement.
Requirements & Qualifications:
- Experience as an Executive Assistant or in a similar role
- Excellent organizational and communication skills
- Proactive and assertive work attitude
- Ability to work under pressure and prioritize tasks
- Discretion and confidentiality in handling sensitive information
- Good knowledge of Microsoft Office, especially Word, Excel and PowerPoint
- Ability to quickly adapt to changing circumstances
