About the Role
The Back Office and Game Host (animateur) is the communication and admin nerve center of Woodcutter.
You’re responsible for managing our inbox, ensuring customer messages are clear and on-brand, and keeping our sales and financial systems organized. You’ll be the go-to person for booking coordination, B2B relationships, invoicing, and payments—all while supporting the floor team and enhancing the guest experience. You’ll work closely with the Chief Coordinator and local team to keep things flowing smoothly both front-of-house and behind the scenes. And because you're also part of the Axe Master crew, you'll bring that same energy and care to every guest shift you work.
What You’ll Do
As Executive, you’ll handle communications, sales outreach, and key admin tasks that keep our operations running strong. Each week, you’ll complete 1–2 dedicated admin shifts focused on financials, organization, and guest communications, plus 3–4 shifts on the floor.
Key Responsibilities
- Manage all email communication with customers: bookings, group requests, questions, etc.
- Organize and upload payment and revenue documentation monthly
- Handle invoices in and out; ensure timely processing and tracking
- Monitor and support all booking platforms (e.g. GetYourGuide)
- Build and maintain B2B relationships and local collaborations
- Lead or support guest campaigns, group sales pushes, and tournament promotions
- Track key guest group info
- Work 2–4 shifts per week as Team Leader or Axe Master, actively supporting floor operations
What You Bring?
You’re equal parts communicator and organizer. You write with clarity and personality, keep calm under pressure, and bring structure to fast-moving environments. You’re not afraid of a spreadsheet or a sales pitch—and you love keeping things running smoothly while bringing in new business.
Qualifications:
- Experience in customer service, email marketing, or CRM platforms
- A talent for writing short, clear, and engaging messages
- Confidence working with invoices, reports, and admin tools
- You have a good level of English and you are fluent in Dutch & French
Bonus points:
- If you have a Driver's license (Type B), for occasional material pickup with our company van.
